Registration Agreement

Participation in the Summit is limited and offered at our discretion. Your registration is not complete — and no place is held — until (a) the required deposit or payment is received and (b) you have accepted this Agreement.

You agree to provide accurate, current, and complete information when you register, and to keep it updated. We rely on that information to plan your experience and to reach you with important notices.

We may decline or cancel a registration where reasonably necessary — for example, if required payment is not received, if information provided is materially inaccurate, or if participation would be inconsistent with the safety, integrity, or lawful operation of the Summit. Where we cancel a registration, any refund owed to you will be determined under the applicable terms of this Agreement.

The 100 Black Women Summit in Brazil is an adult experience designed for women ages 18 and older. Participants must be at least 18 years old at the start of the Summit. Guests under 18 may not participate in Summit programming, sessions, excursions, hosted events, or Summit accommodations.

A non-refundable deposit reserves your place and is applied in full toward your balance.

Whichever deposit applies to your booking is non-refundable and secures your room and your seat in a strictly limited cohort. Later installment or balance payments are not deposits and are governed by the payment and refund terms below.

The Invitation

The Invitation applies to the Shared Experience.

To retain The Invitation Rate, the remaining balance of $4,997 must be paid in full by September 18, 2026. If you authorize a scheduled payment at registration, you authorize us and our payment processor to charge your designated payment method $4,997 on September 18, 2026 (or the next business day if that date is not a business day). We will make reasonable efforts to notify you in advance of that charge, and you may update your payment method before the charge date.

If the remaining balance is not completed by September 18, 2026, the Invitation Rate no longer applies. Your $1,000 deposit remains non-refundable and is applied toward your registration under the standard registration terms (the standard price and the March 3, 2027 balance-due date).

Standard registration

For standard registration, payment is due according to the payment option and schedule confirmed at the time of registration. If you select a payment plan, all scheduled installments must be completed by the final payment date shown for that plan. Registrations made after the applicable final payment date require payment in full at the time of registration.

Your selected payment schedule, including the amounts and dates of any future payments, will be presented to you before you complete your registration.

If a scheduled installment fails, an authorized automatic charge is declined, or a balance remains unpaid after the applicable deadline, we will notify you and give you an opportunity to bring the payment current — generally within five (5) business days of our notice.

If payment is not brought current within a reasonable time, your registration may be canceled. Any amounts already paid remain governed by this Agreement, including the non-refundable nature of the deposit and the cancellation and refund schedule below. This provision works together with The Invitation payment terms in Section 4.

To cancel, send written notice to cancellations@100blackwomeninbrazil.com. Your cancellation takes effect on the date we receive your written notice, and that date determines your refund tier below.

All refunds are calculated only on payments you have made above the non-refundable deposit — never on the deposit itself.

By February 1, 2027 — the 90-day mark — the funds that make this Summit possible have been substantially committed to our host property, partners, and advance experience costs and may no longer be recoverable. That is why refunds are not available for cancellations on or after that date.

Approved refunds are calculated according to the schedule above and are processed within 30 days of the date we receive your cancellation notice.

Your refund is governed by this schedule regardless of any travel insurance coverage you maintain and regardless of whether any insurance claim is approved or denied.

No refunds or credits will be issued for failure to attend, late arrival, early departure, or any unused portion of the Summit experience. This includes missed sessions, meals, activities, excursions, accommodations, or any other included component that you voluntarily do not use.

If you are unable to attend, you may transfer your place to another qualifying woman rather than cancel, subject to our approval, at any time up to 30 days before the Summit. A $150 administrative transfer fee applies. Your payments transfer with the registration. The incoming participant must meet all registration requirements and accept this Agreement.

Because this is an international experience, all participants are required to maintain travel insurance that includes emergency medical care, medical evacuation, and repatriation coverage for the duration of the Summit.

We also strongly recommend trip-cancellation and interruption coverage sufficient to protect your Summit investment, airfare, and other prepaid travel expenses. Whether you choose to purchase such additional coverage is entirely your decision.

Participants are responsible for selecting and purchasing coverage appropriate to their individual circumstances. The Summit does not sell, arrange, recommend, or endorse any specific insurance provider or policy.

The Summit’s cancellation and refund policy applies regardless of whether a participant purchases additional travel insurance or whether any insurance claim is approved or denied.

Before the Summit, we may ask you to provide basic information about your required travel medical coverage so that it is available in the event of an emergency.

If we voluntarily cancel the Summit for our own reasons — and a Force Majeure Event (Section 11) does not apply — you will receive a full refund of every payment you have made to the Summit, including your deposit.

We are not responsible for independent expenses you may have incurred in connection with your booking — including airfare, visas, vaccinations, insurance, independently purchased travel, or other incidental expenses — arising from our cancellation.

This provision (we choose to cancel) is different from a Force Majeure Event (something outside anyone’s control prevents the Summit), which is addressed separately below.

What qualifies. A “Force Majeure Event” means any event or circumstance beyond the reasonable control of either party — whether or not foreseeable — that makes it dangerous, unlawful, or not viable for the Summit to proceed or continue. This includes, without limitation: acts of God; natural disaster; extreme weather, fire, or flood; earthquake; war, civil unrest, riot, blockade, or embargo; epidemic, pandemic, or other public-health emergency; any government order, travel restriction, or quarantine requirement; failure of essential supply or infrastructure; and cyber incident.

Before the Summit begins. If a Force Majeure Event prevents the Summit from proceeding, either of us may act on it: we may cancel or postpone the Summit, and you may cancel your booking if the event directly prevents you from traveling to Salvador (for example, a government travel ban or quarantine that applies to you). Because significant funds will already be committed on your behalf and cannot be recovered, neither the voluntary-cancellation schedule above nor the full-refund provision applies. In that case, you may choose between:

The cash-refund option is limited to recoverable funds because substantial commitments may already have been made to the hotel, vendors, and partners that cannot be returned to us. A Force Majeure Event does not automatically entitle you to a full cash refund.

If a Force Majeure Event occurs after the Summit has begun, the same choice applies to the portion of the experience that cannot be delivered: a 100% credit for the remaining days, or a refund of recoverable costs for the remaining days.

Shared burden. Where a Force Majeure Event applies, neither of us will make a claim for damages against the other, and we are not responsible for independent or incidental expenses you may have incurred — including airfare, visas, vaccinations, insurance, or other non-refundable costs. When no one is at fault, the unavoidable loss is shared rather than placed on either of us alone.

Your registration includes accommodation at Fasano Salvador (our host property) in one of the following experiences, as selected at registration and subject to availability:

Room categories are subject to availability. Specific room numbers, locations, or views cannot be guaranteed unless expressly confirmed in writing, and the hotel may make operational room changes. If circumstances outside our reasonable control make the host property unavailable or unsuitable, we may arrange reasonably comparable alternative accommodations. Participants selecting the Shared Experience may be assigned a roommate in accordance with the Summit’s rooming process. A change in room category may affect pricing. Additional occupants who are not registered participants are not permitted in Summit accommodations.

The published itinerary represents the planned experience. Because this is a live international program, elements — including speakers, facilitators, session timing, meals, excursions, cultural experiences, venues, transportation, or sequencing — may change when reasonably necessary for operational, safety, availability, weather, local, cultural, or similar reasons.

Reasonable substitutions or schedule adjustments do not constitute a cancellation of the Summit and do not automatically create a refund right. We will use reasonable efforts to preserve the overall character and quality of the Summit while allowing for the practical flexibility that international travel sometimes requires.

You are responsible for obtaining and holding all documentation required for your travel, including a valid passport, any required visas, entry and exit requirements, immigration documentation, and compliance with all government travel requirements applicable to your individual circumstances.

The Summit cannot be responsible if you are unable to travel because you lack required documents or are denied entry. Because these requirements can change, we do not state specific visa or vaccination requirements in this Agreement; please confirm current requirements for your situation well before you travel.

International travel and Summit activities involve the ordinary risks that come with travel, group experiences, cultural excursions, and being in an unfamiliar environment. By participating, you acknowledge and accept those ordinary risks.

You are responsible for your own personal health needs and medications, for communicating any mobility or accessibility needs in advance, for following reasonable safety instructions during the Summit, and for deciding whether a given activity is appropriate for you. If you have a health condition that may affect your participation or safety, please consult your own medical provider before you travel.

This Summit is a sanctuary built on dignity, safety, and mutual respect. To protect that experience for everyone, we ask every participant to engage with care toward fellow participants, our team, our partners, and our hosts.

We reserve the right to remove a participant from programming or from the Summit when reasonably necessary to protect the safety, dignity, or wellbeing of participants, staff, or others, or to protect property or the integrity of the experience. Conduct that may warrant removal includes harassment, threats, intimidation, abusive behavior, discriminatory conduct, physical violence, conduct creating a material safety risk, serious disruption of programming, substantial interference with another participant’s ability to participate, property damage, or refusal to follow reasonable safety, hotel, venue, or Summit staff instructions.

Removal for serious misconduct may occur without refund. We will always aim to act reasonably and proportionately.

The Summit is documented through professional photography and video.

General and event documentation. By participating, you understand that you may appear incidentally in photographs or video that document the Summit, and you agree that we may use such general event imagery to document and promote the Summit and future In Her Power experiences.

Individual promotional use. Prominent individual photographs, recorded testimonials, interviews, quotes, or other identifiable promotional uses that feature you individually are handled through a separate, voluntary media consent — not automatically granted by this Agreement.

You are responsible for your own personal belongings, including your passport, cash, jewelry, electronics, baggage, medications, and other personal property. The Summit is not responsible for lost, stolen, forgotten, or damaged personal property, except to the extent liability cannot lawfully be excluded. Please use hotel safes and security services where appropriate.

So that we can support you well, please disclose any relevant accessibility needs, dietary restrictions, and serious food allergies by March 3, 2027 (or at the time of registration, if you register after that date).

We will make reasonable efforts to communicate and accommodate your needs, but we cannot guarantee that every dietary, accessibility, medical, or environmental request can be fulfilled, particularly in an international setting. This Agreement does not promise ADA-equivalent infrastructure in Brazil.

Portions of the Summit are delivered by independent third parties — including hotels, transportation providers, restaurants, tour and excursion operators, and cultural partners. We select our partners with care. Services provided by these third parties may also be subject to their own terms, and we are not responsible for the independent acts or omissions of third-party providers.

By registering, you agree that we may deliver registration, payment, itinerary, operational, and other transactional communications related to your participation electronically — to the email address or mobile number you provide. This does not constitute consent to unrelated marketing communications.

This Agreement is governed by the laws of the State of California, without regard to its conflict-of-laws rules. Nothing in this Agreement waives any consumer-protection rights that cannot be waived under applicable law.

If any provision of this Agreement is found unenforceable, the remaining provisions continue in full force, and the unenforceable provision is applied only to the extent permitted by law.

This Agreement, together with any policies it expressly incorporates and the terms confirmed at registration, is the entire agreement between you and us regarding your participation, and it supersedes prior discussions on these subjects.

We may amend this Agreement where reasonably required by law, safety, or material operational circumstances. We will not use this provision to materially rewrite your financial bargain — your price, deposit, payment schedule, and refund rights as confirmed at registration — after you have registered.

You accept this Agreement by affirmatively indicating your agreement during the online registration and checkout process before completing your payment. The Registration Agreement is made available to you during registration and through the Summit website.
